How to use AI in daily reports: three places to apply it without handing it over

The worry that using AI in daily reports stops development. Not handing over to AI but making use of it — three places to apply it (a starting draft, summarizing long reports, weekly trends) and the one line not to cross.

Not hand it to AI, but make use of AI

Putting AI into daily reports raises the worry that members stop thinking and development stops. Indeed, if you let AI write even the improvement and next-day plan, the person's problem-solving does not grow. But use AI as a tool to make use of rather than to hand over to, and you can lighten the burden of writing while actually deepening thinking. The key is the line of where to use it and where not to.

Use 1: a starting draft

For people who struggle to write from a blank page, it helps to give AI the facts (what you did) and have it make a starting draft. But the draft is only a departure point; the person overwrites the check (C) and act (A) themselves. AI turns zero into one, and the person turns one into ten — with this division, the writing burden drops and the thinking part stays with the person.

Use 2: summarizing long reports

A manager with many members can run out of time just reading everyone's reports. Have AI summarize a day or a week and you quickly get a sense of where to respond. The summary is only an entrance; the actual comment and evaluation come from the person reading the original. Raise reading efficiency with summaries and keep judgment with people — that is the safe way to use it.

Use 3: extracting weekly trends

Have AI extract recurring stumbles and points of growth from a week of P/D/C/A, and the material for a 1-on-1 or evaluation comes together fast. AI goes as far as laying out the trends; meaning-making and dialogue are done by people. AI is good at organizing facts, and only a person can judge how to develop that individual. Not confusing the two matters.

The line not to cross: the judgment of improvement and evaluation

What you may hand to AI is organizing facts, summarizing, and starting drafts. Having it write the improvement (A) in the person's place, or having AI produce the conclusion of an evaluation — cross this and development and fairness break down. AI drafts, people decide. Keep just this line and AI becomes an ally that lowers the burden of reports and raises the quality of development and evaluation.

A tool for a culture of improvement and fair evaluation that implements these ideas.
